Role Description

This is a contract role for an Operations Manager, located on-site in Dallas, TX. The Operations Manager will be responsible for overseeing event and meeting logistics, coordinating staff and volunteers, managing vendor relationships, and ensuring successful event execution. Daily tasks include scheduling, budget management, negotiating contracts, and problem-solving any operational issues that arise during events.

Overview

The Operations Manager is responsible for planning, managing, and executing client events from concept to completion. This role oversees all event details including décor, vendor relations, crew scheduling, and budget management to ensure seamless, high-quality experiences.

Key Responsibilities

Event Planning & Design

  • Collaborate with sales, marketing, and other Operations Managers to develop proposals
  • Create event concepts, timelines, and design plans
  • Manage hotel RFPs, site inspections, and event diagrams
  • Source, contract, and manage vendors
  • Develop and maintain Event Specifications Guides and binders

Event Management

  • Oversee purchasing, banquet event orders, and project budgets
  • Track costs, manage receipts, and initiate invoices
  • Serve as primary client and attendee contact
  • Manage hotel room blocks, travel logistics, and registration
  • Direct on-site setup and support
  • Create load sheets and oversee all event-day logistics

Operational Excellence

  • Manage time, workload, and event staff to ensure exceptional service
  • Recommend and implement process improvements
  • Conduct training sessions for staff as needed

Qualifications

  • Bachelor’s degree in Hospitality or related field preferred
  • 3+ years of event planning/management experience preferred
  • CMP or equivalent certification preferred
  • Proficiency in Microsoft Office Suite and event management software
  • Strong communication and interpersonal skills
  • Exceptional attention to detail, organizational skills, and adaptability
  • Ability to work under pressure, including evenings and weekends as required
